How to Reduce Support Tickets with DocStar FAQs and AI

reduce-support-tickets-with-faqs-cover.png

DocStar helps you reduce support tickets by turning the questions customers keep asking into approved FAQs that show up everywhere they look: your FAQ page, the bottom of every relevant doc page, and the AI answers on your docs. The fastest way to build that FAQ is to let your AI agent do it. Connect Claude Code, Cursor or Codex to the DocStar MCP, hand it your recent tickets and reader feedback, and it drafts the FAQs for you. Your team reviews and approves; nothing goes live without a person saying yes.

This guide shows the whole workflow: what the agent does, what stays with you, and how to keep the FAQ current as your product changes.

#

Why the same tickets keep coming back

Most support queues are full of repeats. "How do I reset my API key?" "Why is my webhook not firing?" "Where do I change my billing email?" The answer usually exists somewhere, but customers can't find it, or it's buried in a long article, or it was never written down at all.

Writing FAQs by hand fixes this in theory. In practice nobody has time to read a month of tickets, group them, write clean answers and check for duplicates. So the FAQ goes stale and the tickets keep coming.

DocStar changes the economics. The reading, grouping and drafting is work an AI agent does well, and DocStar gives that agent a safe place to put its drafts: a pending queue your team approves.

How DocStar FAQs deflect tickets

Before the workflow, here is what an approved FAQ does in DocStar. According to our FAQs help guide, approved FAQs appear in three places:

Where What the customer sees
Your FAQ page A dedicated /faq page on your docs site, for example docs.example.com/faq
Published doc pages A Frequently Asked Questions section at the bottom, matched to the page's tags and title
AI answers Ask AI and chat widgets on your docs use approved FAQs to answer questions

That last row matters most for ticket deflection. When a customer types their question into the Ask AI search bar on your docs, the answer can come straight from an FAQ you approved, instead of becoming a ticket. And with the DocStar Search SDK, the same search and Ask AI can sit inside your own website or app.

Your docs collection also gets its own hosted MCP server, so customers who use Claude, ChatGPT or Cursor can connect it and search your docs from their assistant. Your FAQ work reaches them there too.

The agent-first workflow: tickets in, FAQs out

#

Step 1: Connect your AI agent to DocStar

Add the DocStar MCP to Claude Code, Cursor, Codex or any assistant that supports MCP. Use DocStar from your assistant's connector directory if it's listed, or add it as a custom (remote) MCP server with this URL:

https://mcp.docstar.io/mcp

The first time the agent needs your workspace, you sign in to DocStar in your browser. There's no API key to copy, and the agent only sees the workspaces and collections your account can access. Full steps are in Connect your AI assistant.

#

Step 2: Give it your support questions and one prompt

Export your recent tickets or chat transcripts from your helpdesk (a CSV or a text file is fine), drop the file in your project folder, and paste a prompt like this:

Use the DocStar MCP. Read support-tickets.csv and find the 20 questions customers ask most often. Group duplicates and near-duplicates together. For each group, check our Help Docs collection for the right answer, then draft one clear FAQ: a question in the customer's own words, a short answer, and a link to the page with full details. Check for similar FAQs before adding anything, and suggest updates to existing FAQs instead of creating near-copies. Tag each FAQ by topic (billing, auth, webhooks, errors). Save everything as pending FAQs for review and don't approve anything. Show me the list before you save.

#

Step 3: What the agent does

With one prompt, the agent works through the job in order:

  1. Reads and clusters the tickets. It groups "can't log in", "login fails" and "password not working" into one question.
  2. Looks up the real answer. It searches your published DocStar docs so the answer matches what your product actually does, not a guess.
  3. Checks for duplicates. DocStar's FAQ API includes a similarity check, and AI generation de-duplicates against your existing FAQs. Instead of adding a near-copy, the agent can suggest a better version of an FAQ you already have.
  4. Reuses your tags. It reads your existing FAQ tags so new entries land in the right groups and match the right pages.
  5. Shows you the plan, then saves drafts. The DocStar MCP is safe by design: the agent shows you what it will create or change and waits for your OK. AI-generated FAQs are saved as pending unless you've turned on auto-approve for the collection.

If you'd rather the agent hand DocStar raw text, it can also call DocStar's FAQ generation directly with your ticket export. For big batches, DocStar can generate FAQs in the background and post the results to a webhook URL when it's done.

#

Step 4: You review and approve

This is the part only your team should do. Open the collection, click FAQ in the left sidebar, and go to the Pending tab. A red badge shows how many suggestions are waiting.

Each suggestion is labelled:

  • New: a question you don't have yet. Approve or reject it.
  • Update: a better version of an existing FAQ, shown as a preview of the changes. Approve the update, create it as new, or reject it.

You can Edit before approving to fix the tone or add a caveat. Your judgment calls belong here: which answers are safe to publish, what stays internal (pricing exceptions, workarounds you don't want to promise), and how you want your brand to sound. Nothing goes live until someone approves it.

#

Close the loop with reader feedback

Tickets aren't the only signal. Every published DocStar page and API endpoint shows Was this helpful? at the bottom. A No opens a short comment box, so readers tell you exactly what was missing. Our reader feedback guide recommends turning repeat questions into FAQs, and your agent can do that for you.

The DocStar API lists a collection's feedback with weekly thumbs up and down counts and the negative comments. Give your agent a second prompt:

Use the DocStar MCP. Pull last month's reader feedback for our Help Docs collection. Find pages with the most "No" votes and read the comments. For each repeated question, draft a pending FAQ tagged to match that page, and list any pages that need a rewrite instead. Don't change or publish any pages.

Now the FAQ appears right where readers got stuck, and you get a short list of pages worth fixing.

#

Keep it current

An FAQ that drifts from the product creates tickets instead of preventing them. With DocStar, keeping it current is a routine your agent runs, not a project.

  • After each release. Ask the agent to read your release notes or changed pages and check whether any live FAQ is now wrong. It suggests updates as pending changes you approve, so the old answer stays live until the new one is ready.
  • Weekly from the queue. Point the agent at last week's tickets with the same prompt. It skips questions you already answer and only drafts what's new.
  • When code changes. If your agent already works in your codebase, add a note to your AGENTS.md or CLAUDE.md: when a feature, setting or error message changes, check the matching FAQs in DocStar and draft updates for review.

Use the DocStar MCP. We just shipped the changes in CHANGELOG.md. List every live FAQ in our Help Docs collection that these changes affect, and draft an updated answer for each as a pending FAQ. Don't approve anything.

Because the FAQs feed Ask AI and the answers at the bottom of your pages, one approval updates every place customers look.

#

Prefer to do it by hand?

You can. In the FAQ page of any collection, choose Manual to type a question and answer (manual FAQs go live right away), or AI Generate to paste a help article, release notes or rough notes and get suggestions in the Pending tab. If DocStar spots a similar FAQ, it offers to update the existing one instead. The agent workflow above simply saves you the reading and grouping.

#

Why teams choose DocStar for self-service support

  • One workspace. Help docs, API docs, FAQs and changelog live together, so FAQ answers can link to the full guide in one click. See how teams launch a help center on their own domain.
  • Agent-first, human-approved. Your AI agent does the heavy lifting through the DocStar MCP; pending review keeps quality in your hands.
  • FAQs that travel. One approved answer shows on your FAQ page, on matching doc pages and in AI answers. Read more in Smart FAQs: answers people and AI can find.
  • Built for AI readers. Your docs collection has its own MCP server, and every published page can be copied as Markdown for AI tools.
  • Duplicate-proof. Similarity checks stop your FAQ from turning into a cluttered list.
#

FAQ

Can my AI agent create FAQs in DocStar? Yes. Once Claude Code, Cursor, Codex or another assistant is connected to the DocStar MCP, it can reach DocStar's FAQ API: list and tag FAQs, check for similar questions, generate FAQs from text and save them. It asks before it changes anything.

Will AI-generated FAQs go live without review? No, not by default. AI suggestions are saved as pending and stay in the Pending tab until someone approves them. Only turn on auto-approve if you're comfortable skipping that review.

Where do customers see approved FAQs? On your docs site's /faq page, at the bottom of published pages whose tags and title match, and in the Ask AI and chat answers on your docs.

How does DocStar avoid duplicate FAQs? When you add an FAQ, DocStar checks for similar ones and offers to update the existing FAQ instead. AI generation also de-duplicates against your current FAQs and suggests updates rather than near-copies.

Can I generate FAQs from a large ticket export? Yes. DocStar can generate FAQs from text in the background and send the pending results to a webhook URL when it finishes. You still approve them in the app.
