Members and Roles

Invite your team to a workspace, give each person a role and decide which collections they can read or edit. To get started, click your workspace name at the bottom of the left sidebar, then click Members.

Workspace roles

Role What they can do
Owner (Workspace owner) Full access to all collections and settings. Can create and revoke API tokens. The Owner can't be removed, and their role can't be changed.
Admin Can invite and remove members, change roles, set collection permissions and manage domain-based access.
Member Can view and edit the collections they have been given access to. Can't invite or remove people.

Nobody can give the Owner role to another person from the Members page.

#

Collection permissions

Owners always have full access to every collection. For Admins and Members, access is set collection by collection:

Permission Meaning
Read Only Can view the collection's content
Read & Write Can edit and create content
Access Denied Can't open the collection

If no permission has been set for a collection, the person can read it but not edit it. You can only grant up to the access you have yourself.

Invite a member

You must be an Owner or Admin.

  1. Open Members from the workspace menu.
  2. Click Invite Member.
  3. Enter the person's Email.
  4. Under Select role, choose Admin or Member.
  5. For an Admin, click Send Invite.
  6. For a Member, click Next. Under Collection Permissions, choose Read Only, Read & Write or Access Denied for each collection. Every collection starts at Read Only. Then click Send Invite.

The person is added to the workspace right away and sees it when they sign in with that email address.

Tip: to let everyone from your company join without an invite, turn on Domain-based access. See Workspaces.

#

Change someone's role

  1. On the Members page, find the person.
  2. In the Role column, open the role menu and pick Admin or Member.

The Owner's role can't be changed.

#

Change collection permissions

  1. On the Members page, click Manage Permissions next to the person.
  2. Under Collection Permissions, set the access for each collection.
  3. Click Update Permissions.

Use this to give an Admin write access to a collection, or to hide a collection from someone.

#

Remove a member

  1. On the Members page, click Remove next to the person.

You can't remove yourself or the Owner. Removed people lose access to the workspace immediately. To leave a workspace yourself, see Workspaces.

#

See who changed what

The User Activity Logs list at the bottom of the Members page shows recent member changes, such as invites, removals and role updates.

#

SSO workspaces

In workspaces marked SSO, members come from the other product's sign-in, so the Members page isn't available. Admins have full access, and other users can read content but not edit it.
